In-House Electronic Form I-9 Compliance Software

May 15, 2008 By

ImmigrationTracker has announced the release of Tracker I-9, an in-house software system for ensuring Form I-9 compliance across an entire organization. All employees, citizens and noncitizens, hired after November 6, 1986 and working in the United States, must complete a Form I-9 to document that they are authorized to work. Tracker I-9 meets the growing demand from employers for paperless verification of employment eligibility and immigration status under the I-9 rules. Unlike other I-9 systems, Tracker I-9 software is installed on the user's internal server behind the organization's firewall to maximize data security.

Tracker I-9 allows employers to electronically prepare, sign and store the I-9 employment eligibility verification form as authorized by the Department of Homeland Security (DHS) regulations (8 CFR 274a.2). The system's features also include e=mail alerting, audit and reporting capabilities designed to enhance corporate oversight of workforce compliance and accuracy of employment records.

In releasing the Tracker I-9 enterprise software system, ImmigrationTracker announced that it was also responding to the increased reliance of employers on using the federal E-Verify program. E-Verify is an Internet-based system operated by the Department of Homeland Security (DHS) in partnership with the Social Security Administration (SSA) that allows participating employers to verify the employment eligibility of their newly hired employees. Some government watchers predict that pending legislative proposals may soon make this largely voluntary program mandatory for employers nationwide. ImmigrationTracker, the maker of Tracker I-9, is a Federally Approved E-Verify Designated Agent.

ImmigrationTracker announced the release of Tracker I-9 as Form I-9 compliance has reached a critical stage with stepped-up DHS investigations and fining of employers that do not follow the rules for verifying employment eligibility. The changing employment laws and regulations have made it difficult for hiring managers to complete this form on time, with accuracy, and without discriminating against potential hires. Many employers using the error-prone paper version of the Form I-9 find it nearly impossible to track expiration dates or locate forms across multiple worksites.

By using an electronic system with centralized control of all I-9 records, corporate executives and human resources (HR) professionals can perform internal audits from their desktops and be alerted to issues before they become compliance problems. Tracker I-9 also offers proactive verification of social security numbers against government databases.

Keeping the Tracker I-9 database on a server at the user's own office or facility gives the user full control over storage of and access to its sensitive information. ImmigrationTracker was one of the early developers of the office-hosted or "on-premise" immigration management model and today leads the industry in providing such systems. ImmigrationTracker products are relied on by major immigration law firms and corporations, in part because they satisfy their very high security expectations.

ImmigrationTracker management software used in conjunction with Tracker I-9 also allows HR staff to monitor the work visa application and on-boarding process for foreign nationals and ensures timely document reverification required for I-9 compliance for work visa employees. By following the official guidelines and choosing Tracker I-9 as the Form I-9 management system, organizations can reduce the number of "no match letters" and provide government auditors with an electronic trail of their compliance with just a few clicks.
